XX Food Co., Ltd. Emergency Response Plan for the Novel Coronavirus

In view of the severity of the novel coronavirus epidemic, the company has formulated this plan: establish an epidemic emergency leading group to organize all departments to carry out epidemic prevention. The list of the epidemic prevention leading group is as follows:

Other departments, including Finance, Business, Quality Control, Warehousing, Purchasing, and Canteen, shall implement relevant regulations as required by the leading group.

The company has postponed the 2020 start date to February 10 (the 16th day of the first lunar month). During this period, management personnel shall be on duty at the factory according to the duty roster, and any problems found shall be reported immediately to the leader or deputy leader of the epidemic emergency leading group.

Employees and external personnel who arrive at the factory before the start date shall be advised to return.

I. Security Department:

  1. The Security Department shall be equipped with the following equipment:
  2. Security checks: All personnel, including security staff, must wear medical masks, disinfect hands with 75% alcohol, and spray the security office, office building, restrooms, and dormitory floors daily with 200ppm disinfectant water.
  3. The Security Department shall be equipped with electronic thermometers. Any person entering the factory must have their temperature checked. If the temperature exceeds 37.3°C, they shall be advised to seek medical treatment and self-isolate.
  4. Any vehicle entering the factory premises shall be sprayed with 200ppm disinfectant water.

II. Business Department:

  1. Communicate with customers regarding the start date and order arrangements.
  2. Communicate with recent visiting customers to cancel upcoming visits and reschedule after the epidemic ends.
  3. Coordinate with the Production Department on shipping plans after the start date, as well as materials and packaging matters.

III. Production Department:

  1. Before the start date, conduct a survey of employees, including the number of local and non-local employees, and whether any employees, their relatives, or surrounding people have fever or epidemic-related symptoms. If so, advise them to stay home for active treatment and self-isolation.
  2. After the start date, check the temperature of employees entering the workshop every morning and noon. If the temperature exceeds 37.3°C, advise them to seek treatment and self-isolate, and they may return to work only after recovery.
  3. Spray the production area floors and walls daily with 200ppm sodium hypochlorite, and disinfect changing rooms and workrooms with ozone after each shift.
  4. Report daily the health status of workshop employees, especially those with colds or fever, to the epidemic emergency leading group until the epidemic ends.
  5. Gate personnel shall strictly manage employees entering the workshop: they must wear medical masks, disinfect hands (soak in 150ppm disinfectant water for 30 seconds), and then disinfect with 75% alcohol. Those who do not strictly disinfect are prohibited from entering the workshop.

IV. Canteen:

  1. Canteen staff shall have their temperature checked daily. If the temperature exceeds 37.3°C, advise them to seek treatment and self-isolate.
  2. Canteen staff shall wear medical masks and disinfect hands before work each day (soak in 150ppm disinfectant water for 30 seconds), and then disinfect with 75% alcohol.
  3. Canteen staff shall spray floors and tables with 200ppm disinfectant water at 9:00, 14:00, and 19:00 daily.
  4. Canteen staff shall open windows for ventilation for 2 hours daily from 9:00-11:00 and 14:00-16:00, or adjust the time according to weather conditions.
  5. Tableware in the canteen: stainless steel bowls, plates, and chopsticks shall be high-temperature disinfected (100°C for 20 minutes) after washing each morning, noon, and evening.
  6. Canteen staff work clothes and gloves shall be cleaned and disinfected with 150-200ppm disinfectant water.

V. Purchasing Department:

  1. Contact suppliers in advance regarding inventory and procurement of raw materials, auxiliary materials, packaging materials, and deoxidizers, fully considering possible delays in transportation or non-delivery due to the epidemic.
  2. Purchase alcohol and sodium hypochlorite in advance. Due to market shortages, procurement may be difficult, so reserves should be established.
  3. Contact suppliers for medical masks and disposable gloves to maximize production and processing needs.
  4. Notify external personnel entering the factory in advance that they must accept disinfection measures; otherwise, they will not be allowed entry.

VI. Office:

  1. The office shall register applicants for employment, and for applicants from epidemic areas, carefully inquire about any epidemic occurrences around them.
  2. Daily statistics of applicants, including their places of origin, shall be reported.
  3. Post epidemic prevention knowledge at the factory entrance, bulletin boards, workshop entrances, canteen, and dormitory buildings.
  4. Set up dedicated trash bins for disposable masks in the factory area for centralized collection, and spray with disinfectant water before disposal.

VII. Logistics and Other Departments:

  1. All large-scale meetings, gatherings, visits, and training sessions within the company shall be cancelled, and video conferences shall be used for communication as much as possible.
  2. All departments shall cooperate with the temperature checks conducted by the Security Department and production gate personnel. Those with temperatures exceeding 37.3°C shall voluntarily seek treatment and self-isolate.
  3. All personnel shall wear medical masks and spray hands with 75% alcohol when entering the office area.
  4. The office area shall be ventilated by opening windows at regular intervals in the morning, noon, and afternoon.
  5. During the epidemic, unnecessary business trips shall be cancelled, and phone or WeChat shall be used instead. If a business trip is necessary, the destination must be reported, and upon return, temperature checks and hand disinfection shall be conducted.
